International Sales Coordinator - What You'll be Doing:

  • The International Coordinator plays a key role in progressing all international customer sales from reservation through to legal completion, ensuring smooth handovers, accurate records, and exceptional customer experience.
  • This role supports the wider sales function by coordinating sales administration, tracking progress, maintaining data, and ensuring every customer follows the Customer Journey.
  • You’ll be the central point of contact between Sales Executives, customers, estate agents, solicitors, brokers, and internal departments, supporting communication, compliance, and delivery across multiple developments.

International Sales Coordinator - What You'll be Doing (not limited to):

  • Manage all international sales progression processes from reservation through to exchange, ensuring all exchanges are achieved within agreed timelines.
  • Oversee and coordinate international sales completions, ensuring all transactions are completed on time.
  • Investigate and address any potential risks to completion, escalating to the Head of International Sales promptly with recommendations for resolution.
  • Maintain an accurate completion tracker and provide weekly progress updates to Head of International Sales.
  • Train International Sales Executives and estate agents on sales admin processes and Customer Journey.
  • Maintain excellent working relationships with sales teams, customer care, construction teams, and external partners.
  • Assist the Head of International Sales in delivering accurate reports.
  • Act as an early-warning system by identifying potential delays or issues in sales progression or completions, ensuring the Head of International Sales is notified immediately.
  • Audit internal sales procedures and Customer Journey compliance.
  • Champion the use of systems such as Unlatch across the team.
  • Identify process improvements and suggest ways to enhance the customer and sales team experience.
  • Undertake any other duties as required to support the International Sales team or wider business objectives.
  • Provide cover and assistance to the Head of International Sales during busy periods, events, or absences.
  • Coordinate and progress plot sales from reservation to legal completion, in line with targets and deadlines
  • Ensure all International sales exchange within agreed time.
  • Regular contact with client and agents to ensure all sold plots are ready to completion. Regular report to provide to Head of International sales and Sale Managers.
  • Manage all sales administration, records, and customer paperwork, ensuring accuracy and compliance.
  • Respond to customer enquiries pre- and post-launch via phone, email, WeChat and WhatsApp.
  • Prepare release information and support launches with key documentation for sales teams and agents.
  • Liaise with solicitors, brokers, estate agents, introducers and sales teams to keep sales on track.
  • Supporting international sales launches, assist on AML check, reservation fee and form where required.
  • Ensure all sales activity and documents align with company standards and regulatory requirements.
  • Report any customer complaints and liaise with the Customer Care team for resolution.
  • Regular updating clients, agents on building progress with newsletter, estimated completion window, sending out 10 weeks and 4 weeks completion notice letters.
  • Updating International sale tracker weekly.
  • Writing meeting minutes and circulating after the meeting (where necessary).
  • Generate, issue and file general correspondence, reports, agendas, minutes, schedules etc where necessary.
  • Assisting in the organisation of a variety of events including international launches, agent engagements etc.
  • Chasing accounts & managing process for any late payments.
  • Assist International Marketing Manager where required.

International Sales Coordinator - The Skills You'll Need to Succeed:

Essential:

  • Fluent Mandarin and English in written and spoken.
  • Understanding of conveyancing and mortgage steps.
  • Excellent customer communication skills.
  • Strong PA / Administration and attention to detail.
  • Proficient in Microsoft Office.
  • Experience dealing with IFAs and solicitors.
  • Proactive approach and problem-solving mindset.
  • Weekly reporting on sales performance.

Desirable:

  • Cantonese would be a bonus but not essential.
  • Confident using CRM or sales software.
  • Understanding of AML compliance.
  • Ability to manage sales performance reporting.
