Summary:
- To provide high quality admin support to all London Branch’s employees and be responsible for manning office reception area.
- To provide high quality and professional executive admin support to General Manager and senior management team.
- Act with integrity to support Head of CMD to deliver professional image and services to all internal and external staffs or counterparties.
What You'll be Doing Each Day:
General Office:
- Support Head of CMD with policies/procedures updates and implementations
- Support London Branch to enhance employee engagement and corporate culture through organizing team building activities.
- Lead the reception preparation of delegation visit.
- Support London Branch’s Health and Safety admin work that aligns with UK H&S Legal Requirement.
- Support London Branch’s system innovation initiative (example but not limited to: through UAT testing).
CMD Administrative Support:
- Responsible for daily management of the Branch office environment and maintenance of daily office facilities.
- Responsible for the reception work of the Branch, including but not limited to visitors and meeting room management, postal/mails management, car rental management, reception telephone/email management, entrance card authorization, staff lunch arrangement.
- Lead the Branch’s purchase process management. Responsible for the Branch’s non-electrical fixed assets management work.
- Mend reception area, greet and assist visitors to provide a positive and professional experience.
- Manage the Branch’s business trip arrangements in an orderly and efficient way.
- Maintain and update relevant office record in good and ordering manner.
- Back up work for the other CMD colleague’s administrative tasks when that role is on leave.
- Other ad-hoc department duties.
Executive Administrative Support:
- Support General Manager’s office work arrangement, including effective management of his work calendar, assist to set up business meetings, business travel, and application of business travel visa, whenever required.
- Support General Manager and other senior management team members to produce reports in both English and Mandarin, which requires intensive research and close collaboration with departments across the branch
The skills you need to succeed:
- Fluent in English and Mandarin (spoken and written);
- Degree Holder (minimum Bachelor);
- Strong Project Management and Time Management skillset;
- Demonstrable experience in doing complex research and produce high quality detailed reports for senior management;
- Demonstrable experience in collaborating with various departments to collate high quality data for senior management in a timely manner;
- Experience in supporting UAT testing / involvement of projects that contributes to innovation development;
- Experience in setting up meetings, conferences through strong organisation skills.
