What you'll be doing each day:

As PA to the Senior Business Development Director (who is also Head of multiple Committees or Member of Boards), and also Head of Family Office, you will be expected to support both positions by managing ever-changing diaries, screening calls, taking messages, organising travel arrangements, assisting with creating outgoing correspondence and emails, events arrangement and management, personal accounts and expenses, obtaining visas and residency permits, follow-up tax filing, preparing reports and documents, improve productivity and from time to time taking minutes during meetings. All previously mentioned tasks can be both in English & Arabic.

You will maintain relationships with both internal and external clients and colleagues and also be responsible for arranging conference calls, organising catering for guests and completing expenses.

 

Key responsibilities include:

  • Day-to-day Secretarial tasks including file keeping and archiving
  • Generating correspondence (formal letters in English & Arabic)
  • Diary management, appointment arrangements & bookings
  • Co-ordinating and organising appointments and duties on and off site
  • Handle incoming calls in the absence of the office administrator
  • Work with team to create spreadsheets, presentations, information and database management
  • Prepare the conference room for presentations and meetings
  • Maintain all hard copy and digital records for ongoing executive projects
  • Assist in creating and distributing meeting minutes for the monthly/periodical meetings and other executive meetings in English and Arabic
  • Handling required visa/immigration/residency application processing.
  • Handling all kinds of online/offline applications including schools and university applications
  • Deliver and pick up business related correspondence from various locations and properties
  • Carry on a check lists of tasks concerning all personal real estate properties or under the Family office management
  • Handling car/health insurance quotations, policies, quotations, renewals, routine car service appointments and MOT renewals
  • Handling all family members doctors and hospital appointments and arrangements, data base and follow-ups. Including health insurance renewals and quotations.
  • Arranging for all travel plans hotel and airport pick ups and car rentals
  • Due to the nature of the role, you may be required to work longer hours from time to time and might be contacted over weekends

 

The skills you need to succeed:

  • Bilingual in both English and Arabic is essential (reading/writing/typing)
  • Ability to work productively with people at all levels in the organization, particularly at an Executive level across different time zones
  • Extremely effective and tactful communication skills both written and verbal English Arabic
  • Proven track record as a PA/EA
  • Excellent prioritisation and time management skills with the ability to be flexible and multi-task
  • Comprehensive knowledge of IT systems with high skills in Excel
  • Experience of dealing with highly sensitive and confidential information
  • Highly organised and self-motivated
