What You'll be Doing Each Day:

Key duties and responsibilities

• DGM’s PA. Assistant to all DGM’s – e.g. expenses, travel, diary management, as required;
• Deal with quarterly reputational risk management report;
• Manage reputational risk and try to find the solution to this by guidance;
• Implement routine management of reputation risk, security risk and draft regular quarterly reports to and communicate with related departments of the Bank’s Head Office;
• Do researches on macro-economic situations and local peers and draft research reports;
• Collect analysis reports from various business departments and based on which to draft whole bank’s analysis reports;
• Support in preparing various reports and PowerPoint materials to be presented to Head Office;
• Arrange travel and accommodation for staff business trips e.g. visas, flights and hire cars, if required;
• Arrange temporary accommodation and provide support to expats;
• Draft Minutes of the monthly Executive Committee Meeting
• Administration of mobile phones;
• Manage company Oyster cards;
• Organise monthly Lunch & Learn sessions and Breakfast with the CEO;
• Liaison with Social Committee as necessary to organize events;
• Maintaining Subsidiary and Branch organization charts;
• Conduct fixed asset checks ensuring fixed asset register is kept up to date;
• General invoice administration;
• Provide support for visitor organization
• Production of reference letters;
• Preparation of references for banks, landlords, new employees, invitation letters etc.;
• Back-up liaison with our outsourced property management service;
• Managing stationery suppliers and orders;
• Recorder management;
• Liaison for the Bank’s third party service providers e.g. travel companies, airlines, accommodation services, etc.;
• Management of memberships and subscriptions;
• Organise all internal and external events e.g. Chinese New Year, Chinese festival celebrations throughout the year, CEO Town Hall meetings, arranging food / refreshments;
• Co-ordination between the bank and the social media, and management of the reputational risk with the intention to enhance corporate image in the market;
• Co-ordination between London office and third parties, e.g. social media;
• Make pre-arrangement for the delegation purpose, including conference preparation, presentation of the profile of the bank, accommodation, transportation and meals etc.;
• Other HR and Admin related matters assigned by Head and Co. Head.

The Skills You'll Need to Succeed:

• Good writing and research skills both in English and Chinese;
• Good communication skills in English as well as in Chinese;
• Good organizational and interpersonal skills;
• General administration experience and strong attention to detail;
• Good skills in Microsoft PowerPoint, Word and Excel;
• Bilingual (English and Mandarin);
• Multi-tasking skills;
• Able to demonstrate initiative skills and ability to prioritise tasks.

Job status: 12 months fixed term contract
Start date: ASAP
Working hours: 9 to 5
