About the job:

Providing general administrative support to the company

 

What You'll be Doing Each Day:

  • Diary management: extensive proactive management of electronic diaries and co-ordination of meetings

  • Travel: co-ordination of detailed, complex travel schedules and itineraries for the Executive Management; liaise with the company to receive the group visitors.

  • Meetings: collation of papers/production of packs for meetings and minute taking as required.

  • Telephone: answering phone calls to switchboard and screening of phone calls for the CEO

  • Expenses/Corporate credit card: reconciliation of monthly corporate credit card statements and reimbursement of expenses on behalf of the Executive Management.

  • Handling of confidential filing

  • Documentation: compilation of PowerPoint presentations and Word/Excel documents including liaison with third parties.

  • Translation of documents and communications between English and Chinese

  • Being a contact point of property services including arranging office insurance, coordinating office maintenance, ordering stationery and business cards for the office

  • Events: arrangement of events including Annual Dinner, Christmas Party and other events as required

  • Project work: completion of ad hoc project work

  • Other general admin duties such as photocopying/scanning etc.

  • Collating/distribution of the credit committee pack (monthly)

  • Sending out the credit letters to clients once approved.

  • Chasing for updated KYC docs and financials for annual reviews.

  • Collating operational risk events and prepare summary information (beginning of each month)

  • Assist on documentation, the board meetings support and logistics

  • Maintain the entertainment register for Compliance department

The Skills You'll Need to Succeed:

  • Excellent command of English and Chinese Mandarin, both written and verbal

  • Excellent communication and inter-personable skills and able to build rapport both internally and externally to the Company.

  • Professional, self-starter with a “can do” attitude and flexible attitude to working hours

  • Ability to multi-task and prioritise workload.

  • Ability to work professionally, confidentially and demonstrate tact and diplomacy.

  • Responsive and professional telephone answering and ability to record details and accurate messages.

  • Shorthand writing skills desirable

  • Strong organisational and diary management skills

  • Strong IT skills

 

Job status: Permanent

Start date: ASAP

Working hours: 9 to 5
